Document Control Specialist

Summary:
 The Document Control Specialist will be responsible for creating and maintaining a progress matrix to track document submissions related to equipment, facilities, and process. This person will also be responsible for managing the onsite document control system using Autodesk Docs. This role is crucial for ensuring that all project documentation is accurate, up-to-date, and easily accessible.

Responsibilities 

  • Develop and maintain a progress matrix to track document submissions and approvals for equipment, facilities, and process.
  • Manage and maintain the onsite document control system using Autodesk Docs.
  • Ensure all project documentation is accurately filed, organized, and easily retrievable.
  • Coordinate with project teams to ensure timely submission and approval of documents.
  • Review and verify the accuracy and completeness of documents before submission.
  • Provide training and support to team members on document control processes and the use of Autodesk Docs.
  • Generate regular reports on document control activities and progress.
  • Ensure compliance with company and project-specific document control procedures and standards.
  • Assist in the preparation and distribution of project documentation to relevant stakeholders.
  • Perform regular audits of the document control system to ensure data integrity and compliance.
  • Look for opportunities for added value through application of Value Improving Practices.
  • Ensure compliance with all client policies, procedures, safety, and technical standards.
  • Lead, motivate, and coach cross-discipline project teams, ensuring positive team environment and facilitating conflict resolution
  • Establish and maintain team communication at both the client and home office
  • Schedule and facilitate all project team meetings and distribute accurate meeting minutes
  • Utilize standard forms and reports to document project activities and project status
  • Ensure that all project information is appropriately distributed, documented and saved
  • Evaluate the status of the project as compared to the planning phase and determine causes of any deviations; Communicate and reach agreement on any change order needs with the client
  • Represent and balance the client’s and the organization’s interests

 Qualifications

  • Bachelor’s degree or higher in an engineering discipline or equivalent experience
  • Proven experience in document control, preferably in a construction or engineering environment.
  • Proficiency in using Autodesk Docs or similar document management systems.
  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal skills.
  • Ability to work independently and as part of a team.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Knowledge of document control standards and best practices.
  • Exceptional interpersonal and leadership skills
  • Strong competencies in planning, project management, leadership, and organization
  • Ability to produce and present clear, concise, and professionally written communications and presentations.
  • Strong analytical capabilities
  • Ability to lead and facilitate multiple activities and resources.
  • Demonstrated work ethic, integrity, and professional conduct.
