Project Coordinator
Location: Boise, Idaho

Position Overview
This position is responsible for providing the administrative, operational and logistical infrastructure necessary to support the Site Leader Coordinator and support the 4–6 Package Leads in the execution of the projects at the Boise campus. The role coordinates site personnel, contractors, vendors, EHS activities, office operations, purchasing, reporting, team engagement and executive visits, ensuring that the site operates as one integrated organization rather than as five separate projects.
Key Responsibilities
1. Site & Office Operations. The person is responsible for keeping the site office and day-to-day administrative environment functioning effectively.
– Manage day-to-day office operations
– Purchase and maintain office supplies/ inventory
– Manage small office purchases within an established spending authority
– Coordinate office furniture, equipment and consumables
– Maintain printers, phones, conference-room equipment and basic office technology
– Coordinate office maintenance and service providers
– Manage site signage, directories and common-area materials
– Coordinate catering for meetings and site events
– Coordinate temporary office requirements as the organization grows
– Work with corporate IT, Facilities, Procurement and Finance as required
2. Support to Site Lead & Package Leads. The Site Administration Lead becomes the administrative hub supporting the Site Lead and 4–6 Package Leads to allow them to concentrate on execution, technical issues, contractors and customers.
– Coordinate recurring site meetings and maintain meeting calendars
– Prepare agendas, meeting logistics, and record/distribute meeting minutes
– Track action items, commitments, and key site milestones/activities
– Maintain site-level contact lists and consolidated manpower information
– Support weekly/monthly reporting and coordinate cross-package activities
3. Vendor & Contractor Coordination. Coordinate with Indirect Sourcing to serve as the primary administrative liaison for administrative vendors and contractors working across the site (while the Package Lead remains accountable for scope, technical performance, and execution of project/services work).
– Administrative contractor and vendor onboarding coordination
– Site services and contractor meetings
– Invoice and PO coordination with Procurement; administrative follow-up on vendor performance issues
4. EHS Coordination. Coordinate closely with different EHS teams while maintaining a clear separation of responsibilities. EHS owns safety requirements and compliance; this role ensures the administrative process supports them.
– Contractor EHS documentation and site orientations
– Safety training coordination and required certifications
– Communicate inspection schedules and corrective-action tracking
– Incident documentation support and EHS meeting coordination
– Office Site safety communications
5. Personnel & Workforce Administration. Maintain the central site workforce information, which is particularly important as the organization grows from 30 to approximately 80 people.
– Employee and contractor rosters (including package assignments and start/termination dates)
– Site access, badging, training, and orientation status
– Visitor records
– Mobilization/demobilization and manpower reporting
6. Team Building & Employee Engagement. Explicitly responsible for maintaining a positive site culture to mitigate the risk of creating isolated project teams.
– Coordinate team-building activities, site lunches, and recognition events
– Coordinate milestone celebrations and holiday/seasonal events
– Coordinate new-employee welcome activities
– Support recognition of project and safety milestones
– Coordinate informal events between the different project teams
7. Senior Executive & Leadership Visits. Serve as the site hospitality and logistics coordinator for senior leadership visits, while the Site Lead owns the executive relationship and content. Coordinates visits from senior company executives, business-unit leadership, corporate functional leaders, customers, and strategic partners.
– Visit scheduling and agenda coordination
– Site access, security, badging, and meeting rooms
– Presentations/materials, catering, and transportation where required
– Site tours, PPE, and EHS requirements
– Coordination with Site Lead and Package Leads on follow-up actions
9. Site-Level Reporting. Maintain a consolidated view for the Site Lead across the following categories:
– People: Current/contractor manpower, upcoming mobilizations, and departures
– Projects: Package status, key milestones, major meetings, and open actions
– Vendors: Mobilization, deliveries, and open issues
– EHS: Training, orientations, and open actions
– Administration: Office needs, purchasing, facilities, and upcoming events
– Leadership: Executive visits, customer visits, and important meetings
