Join a collaborative facilities team in Tucson, AZ as a Financial Assistant, supporting a large facility management portfolio. This position reports to the Program Manager responsible for overall facility management service delivery.


Job Description:

  • Maintain office services by assisting with processing vendor invoices and preparing comprehensive invoicing to the client
  • Organize office operations and procedures, control correspondence, and maintain filing systems
  • Submit purchase requisitions and order office supplies; perform general clerical functions
  • Keep management informed by reviewing and analyzing special reports, summarizing information, and identifying trends
  • Support financial objectives by assisting with annual budget preparation, scheduling expenditures, analyzing variances, and initiating corrective actions
  • Assist with operational requirements by scheduling and assigning work orders to technicians using a computerized maintenance management system (CMMS)
  • Handle a wide range of administrative and executive support tasks with minimal supervision
  • Maintain organization, flexibility, and attention to detail in a fast-paced environment
  • Manage relationships with vendors, service providers, and landlords, ensuring accurate invoicing

Required Qualifications:

  • High school diploma or GED
  • Strong communication and diplomacy skills
  • Highly organized with strong attention to detail and ability to identify errors
  • Strong numerical, organizational, and time management skills
  • Interest in business operations
  • Proficiency in Microsoft Word, Excel, and Outlook
  • Ability to enter data into computerized management systems and generate reports
  • Experience or background in accounting and/or finance functions
  • Strong analytical skills
  • Ability to pass required background clearance

Preferred Qualifications:

  • Associate’s degree or higher in Business Administration or Accounting
  • Familiarity with accounting procedures
